Packing for delivery

How do you make sure you have included everything for delivery? We have just delivered small project, and my guys forgot to pack the shelves. (!) While I want to scream at them, I figure the fault lies with me for not developing a system so that nothing gets forgotten.

Any tips?

6 person custom shop. We currently wrap the shelves, labeled per cabinet and then put them in a corner of our shop, along with shelves from other projects.

Make a shipping checklist in word that you can change or update constantly.

Print about 10 sheets. Add all the items required to ship a complete job

Make an installation list- all required tools, supplies, etc

Make a list for all the items when fabricating jobs and ordering materials and watch your stress levels go down

Get a hot file system and hang one in your office and one in the shop. Tell everyone they are mandatory and use them,

We have one for estimating purposes and literally once we start there and use it going forward, the whole shop benefits.

I really appreciated your response. Those are great ideas.

I'm curious how you make sure someone is responsible for the checklist? Do you assign it to one person? We assign a head person for each project, but in the end, no one really takes responsibility for missed shelves, no shelf pins, finishing mistakes, etc. A thousand fingers are pointed.

Can you explain the Hot File System a bit further?

Ya, "Who is checking to make sure the checklists are being checked." Amen.

Well, you are.

Have a meeting and print enough to make sure everyone has one in hand and go over them. Let everyone have some input as to what might be missing on the list for some ownership

Make a statement- "it's in everyone's best interest to use them- it's mandatory. Period. No excuse."

How we do it is by making packing lists. This is a list of all parts (cabinets by #, quantity/size of shelves, shelf pins, hinges and other hardware etc..)
Can be compiled by whoever cutlists the job. Then it should be highlighted as these items go in the truck. Whoever is loading the truck should have their clipboard and be responsible to ensure all items are highlighted before leaving.

Like everything else, someone has to be in charge. The pack list has to be complete and each item checked off. We photo the load as it goes to show that it was properly packed and that things like the hardware box are in the semi-trailer. Before the load leaves the dock whoever was in charge signs off on the pack list. The buck has to have a stopping point!
